THE ROLEThe operations coordinator plays a crucial support role within our organization, with a primary focus on the planning of exhibitions and working closely with the Gallery & Exhibitions Manager and Exhibition Supervisor. This role requires a keen eye for detail, excellent organizational skills, and the ability to coordinate multiple projects simultaneously ensuring that all exhibitions and auctions are planned and executed seamlessly.Key responsibilities include assisting in the coordination of exhibition schedules, updating the internal exhibitions calendar, and liaising with specialist departments to ensure that exhibitions are timed and arranged optimally. This role also involves collaborating with the marketing and facilities teams to support the execution of the creative vision, ensuring that all events are delivered on time and within budget. The ideal candidate excels in a dynamic environment, is proactive in problem-solving, and has a passion for delivering high-quality exhibitions and sales experiences.RESPONSIBILITIES- General administrative support to Gallery & Exhibitions team
- Exhibition Planning & Execution: Assist the team in the co-ordination of venue design, set-up, and related logistics matters for the Hong Kong exhibitions and auctions as well as events happening at the HK Maison
- Liaise with external vendors and contractors for exhibition and auction-related matters
- Handle hotel booking for overseas staff during auction period, and for visitors during travelling exhibitions
- Liaise with Finance department for all auction operations-related payments, maintain payment records and update vendors with payment status
- Keep the exhibition material/ inventory list and worldwide auction calendar updated
- Organize the Maison exhibition photos google drive if needed
- Participate in any other ad-hoc duties and projects as requested, not limited to additional main and mid-season auctions-based duties
- Operate at all times in line with corporate governance and compliance policies, practices and procedures
- Degree education or equivalent
- 1-3 years of working experience, experience in exhibitions / events related industries are highly preferred
- Effective communication and interpersonal skills, capable of collaborating with diverse stakeholders
- Possess strong organisational, planning and time management skills with the ability to work with tight deadlines, manage multiple complex projects concurrently and cope well under pressure in a fast-paced environment
- Ability to solve problems and prioritise needs in a variety of situations where immediate actions are necessary
- High level of attention to details
- Ability to work independently and as part of a team, display a positive attitude and adhere to Sotheby's Service Standards
- This role operates in an office environment as well as frequent visit to the Maison gallery for exhibitions setup/dismantle
- Skill in Microsoft Office Suite, Google Sheets and SAP (desirable)
- Must have fluent English, Cantonese and Mandarin (spoken and written)
- Flexibility to work extended hours, including evenings and weekends during sale and deadline periods
